First: Terms and Conditions
Definitions
“The Oasis”, “we”, or “us” refers to King Salman Science Oasis. “The Website” refers to the electronic platform or registration page operated by the Oasis.
“User” or “you” refers to any natural person who visits the Website, creates an account, registers for any of the Oasis’s programs, events, educational camps, or purchases tickets or seats through the Website.
“Participant” refers to the student registered in the Program. “Parent/Guardian” refers to the father, mother, or legal guardian of the Participant if the Participant is a minor.
“Program” refers to any program, event, or educational camp organized or hosted by the Oasis, including the Next-Generation Games Camp or any similar programs.
Responsibility and Parent/Guardian Consent
If the Participant is a minor, meaning under the age of 18 according to the applicable laws and regulations in the Kingdom of Saudi Arabia, the consent of the Parent/Guardian or legal guardian must be obtained to accept these Terms on the Participant’s behalf. Completing the registration shall be deemed an acknowledgment by the Parent/Guardian that the submitted information is accurate and that they consent to the student’s participation in the Program.
The Parent/Guardian is responsible for ensuring that the Program is suitable for the Participant in terms of age, health condition, attendance commitment, and ability to participate effectively in the activities.
The Parent/Guardian and the Participant acknowledge that the educational, technical, and practical activities associated with the Program may naturally involve certain ordinary or inherent risks, including the use of devices, tools, software, or participation in group or practical activities within an educational environment.
The Oasis confirms that it takes reasonable measures to maintain the safety of Participants and provide a suitable environment for delivering the Program. However, the Oasis shall not be liable for any damages, injuries, or consequences resulting from failure to comply with instructions, failure to follow the directions of the Program team, trainers, or supervisors, or from the Participant’s individual conduct or personal behavior, within the limits permitted by applicable laws and regulations.
Scope of Application
These Terms apply to all electronic transactions within the Kingdom related to account creation, program registration, ticket or seat purchase, payment, attendance, participation, and communication related to the Oasis’s programs and events.
Account Creation and Registration
Users must enter accurate and up-to-date information when creating an account or completing the registration form.
The User is responsible for maintaining the confidentiality of login credentials and for any activity carried out through their account.
The Oasis reserves the right to reject or cancel any registration or participation if it is found that the submitted data, information, or documents are inaccurate, duplicated, misleading, or in violation of the Program requirements, applicable laws, or relevant instructions.
Completing the registration form does not guarantee seat reservation unless all requirements are completed, including payment where applicable, and a booking confirmation message is received.
Program Registration and Ticket or Seat Purchase
Ticket or seat prices, where applicable, are displayed in Saudi Riyals and include any announced taxes or fees.
The purchase or booking is completed upon successful electronic payment and receipt of the confirmation message.
Special discount codes may be available, such as early bird discounts or group discounts, and such discounts are subject to terms and conditions and seat availability.
Tickets or seats may not be resold or used for commercial purposes in any form.
Refund and Cancellation Policy
The User may cancel the purchase up to 72 hours before the start of the event or Program and receive a refund in accordance with the Oasis’s approved refund process.
Refunds may not be available in cases of no-show, late arrival, withdrawal after the start of the Program, or violation of the Terms and instructions.
If payment is not completed within the period specified by the platform, the system may automatically cancel the booking and release the seat to another Participant.
The Oasis reserves the right to change the Program date, cancel the Program, or modify certain operational details where necessary, with notice to registered Participants through the available communication channels.
Tracks and Age Groups
The appropriate track for the Participant is determined based on age or the criteria approved in the registration form.
For the Next-Generation Games Camp, the tracks are as follows:
Junior Track: ages 10 to 13.
Senior Track: ages 14 to 17.
The Oasis has the right to reject registration or move the Participant to a waiting list if the age falls outside the target age group or if seats are full.
Attendance and Time Commitment
The Participant must attend during the session selected at registration, whether morning or evening, and must commit to attending all Program days.
Participants are advised to arrive before the start of the session with sufficient time to complete entry and reception procedures.
Repeated absence or lateness may affect the Participant’s eligibility to complete the Program, receive a participation certificate, or participate in the final project.
Certificates, Awards, and Benefits
Any certificates, awards, or benefits announced for Participants, if any, are subject to fulfilling the Program requirements and rules, including attendance, active participation, compliance with instructions, and completion of the required activities or projects.
The Oasis reserves the right to withhold the certificate, award, or any announced benefit, in whole or in part, if the Participant violates the Terms, instructions, or approved code of conduct, or fails to meet the Program requirements.
Health Conditions and Special Needs
The Parent/Guardian must disclose any health condition, allergy, or special need of the Participant in the designated section of the registration form.
If there are Participants with special needs, prior coordination with the Visitor Services team or the Program team is required to provide the necessary accommodations, subject to available capabilities.
The Oasis shall not be liable for any consequences resulting from failure to disclose a health condition, allergy, or special need at the time of registration.
Emergency First Aid and Medical Procedures
In the event of an emergency or health incident involving the Participant during the Program, and if the Parent/Guardian cannot be reached quickly enough, the Parent/Guardian acknowledges and agrees that the Oasis may take any urgent first aid or medical measures it deems appropriate, including contacting emergency or medical authorities, or transferring the Participant to a healthcare provider when necessary, in order to protect the Participant’s safety.
The Oasis shall not incur any liability for taking such measures when done in good faith and as required by the emergency situation, provided that the Oasis uses reasonable efforts to inform the Parent/Guardian as soon as possible.
Allergens and Meals
By reviewing these Terms, the User acknowledges that any meals or hospitality provided at the Oasis, if applicable, may contain one or more of the following ingredients: seafood, gluten, dairy products, eggs, nuts, sesame, mustard, or other allergens.
Students with food allergies are advised to bring a suitable alternative that matches their health condition, and the Program team must be notified in advance.
Entry to the Oasis
Entry to the Oasis requires scanning the ticket or registration confirmation upon arrival. The registrant must ensure that the ticket or confirmation is available, whether printed or stored on a mobile device.
The Oasis may request verification of the Participant’s identity or registration details upon entry.
Personal Belongings
The Participant and Parent/Guardian are responsible for safeguarding any personal belongings brought by the Participant to the Program venue, including electronic devices, mobile phones, bags, tools, or any other items.
The Oasis shall not be liable for the loss, damage, or theft of Participants’ personal belongings, except to the extent required by applicable laws and regulations. The Oasis may, where necessary, issue operational instructions regarding bringing or using certain devices or tools within the Program.
Public Decency
All visitors and Participants must comply with public facility etiquette and public decency standards.
Visitors and Participants must avoid wearing inappropriate clothing, including clothing that is short, tight, or contrary to public decency or the applicable laws and instructions in the Kingdom of Saudi Arabia.
Code of Conduct
Food and beverages may only be consumed in designated areas and are not permitted during educational activities or in areas specified by the Oasis.
Participants must interact respectfully with trainers, supervisors, staff, visitors, and other Participants.
Participants are prohibited from engaging in any inappropriate conduct or conduct that violates instructions, including bullying, verbal or physical abuse, harassment, discrimination, threatening the safety of others, damaging property, misusing devices, systems, networks, or digital tools, or any behavior that may affect the safety of Participants or the orderly delivery of the Program.
The Oasis reserves the right to suspend the participation of any person who disrupts order, interrupts activities, or refuses to comply with instructions.
The Oasis may take any organizational measures it deems appropriate in the event of a breach of the code of conduct, including issuing a warning, notifying the Parent/Guardian, temporarily or permanently suspending participation, or requesting the Participant to leave the venue, without any obligation to provide an alternative or compensation, depending on the nature of the violation.
Photography and Media Documentation
The Parent/Guardian expressly agrees, by completing the registration process, to the photographing or recording of the Participant during the Program, and to the use of photos, visual materials, or audio materials for documentation, reporting, marketing, media, and institutional publication purposes related to the Oasis.
The Oasis has the right to take photographs or record the Program or visit by video for these purposes, without the need to obtain any additional subsequent consent. Completing the registration and the Participant’s attendance at the Program shall be deemed express consent to this.
If there is any objection to photographing or recording the Participant, the Parent/Guardian must submit a written objection to the Program team or Visitor Services before the start of the Program. The request will be handled according to the available operational capabilities.
Photography Restrictions by Visitors
Photography inside the Oasis is permitted for educational, personal, and non-commercial purposes only, provided that it does not affect the flow of activities or the safety of visitors.
Photographing staff, other visitors, or Participants without their consent is prohibited.
The use of professional photography equipment, such as additional lighting, tripods, or any photography tools that may obstruct movement within the visit or Program path, is prohibited.
The Oasis may stop or restrict photography at any time if it considers that photography compromises privacy, security, or the orderly delivery of programs.
Projects and Final Competition
The Program may include a final project to be developed by Participants in teams and presented at the end of the Program.
For the Next-Generation Games Camp, the Program concludes with a competition in which Participants’ projects are presented, and the best works compete for recognition and awards.
Winning the competition does not impose any obligation on the Oasis or its partners to publish the game or project, unless this is expressly stated in a separate announcement or written agreement.
Intellectual Property Rights
All logos, content, and materials owned by the Oasis are protected under Saudi intellectual property laws and may not be copied or used without express permission.
Materials and content provided by partners or implementing entities, such as curricula, presentations, tools, or trademarks, are also subject to their respective intellectual property rights.
Original intellectual property rights relating to ideas, materials, code, graphics, design elements, or digital assets owned by the Participant before the Program shall remain owned by the Participant or the original rights holders, as applicable.
Projects, games, prototypes, or innovations developed during the Program shall be considered educational outputs of the Program. The Participant and Parent/Guardian acknowledge that such outputs may be developed individually or collectively, and may use content, tools, guidance, or resources provided by the Oasis, partners, or implementing entities. This shall not result in the transfer of any rights owned by the Oasis, partners, or implementing entities to the Participant, unless under a separate written agreement.
The Oasis may use images or general descriptions of Participants’ projects for documentation purposes or to highlight Program outputs, while observing privacy and applicable laws and regulations.
The Participant and Parent/Guardian grant the Oasis a non-exclusive and irrevocable right to use, display, document, and publish images, descriptions, or excerpts of the project for educational, media, marketing, or reporting purposes without financial compensation.
This includes, without limitation, displaying the project, images from it, or clips showing its concept, development stages, or outcomes in the Oasis’s reports, media materials, digital platforms, presentations, or relevant events and exhibitions, provided that the Participant’s personal data is not used except in accordance with the Privacy Policy and applicable laws and regulations.
The Participant may not use the logos of the Oasis, partners, or implementing entities, or claim any official endorsement, sponsorship, or partnership for the project without prior written approval.
Use of Software, Platforms, Digital Tools, and Artificial Intelligence Technologies
The Program may include the use of software, educational platforms, digital tools, applications, or artificial intelligence technologies for learning, design, programming, game development, or producing educational prototypes and outputs.
The Participant must use these tools lawfully and safely, in accordance with the instructions issued by the Oasis, the Program team, partners, or service providers, and in a manner that preserves intellectual property rights and third-party rights, and prevents the unauthorized copying, downloading, or sharing of any content, programs, files, or data.
The Participant is prohibited from attempting to breach systems, networks, or accounts, exceeding granted permissions, sharing login credentials, uploading harmful files, or using digital tools or artificial intelligence technologies to produce or publish content that is offensive, misleading, unlawful, contrary to public morals, or in violation of Program instructions.
The Participant and Parent/Guardian must not enter or share any personal or sensitive data relating to the Participant or others in digital tools, platforms, or artificial intelligence technologies except in accordance with the instructions of the Program team and only to the extent necessary for educational participation.
Compliance with Instructions
All visitors and Participants are required to comply with instructions issued by the Oasis representatives, Program team, or trainers.
In case of non-compliance, the Oasis may refuse entry, end the visit, suspend participation, or request the person to leave the venue, without any obligation to provide an alternative or compensation.
Limitation of Liability
The Oasis shall not be liable for technical failures beyond its control, unlawful use of the Website by the User, entry of incorrect data, or failure to review the instructions and notices sent.
The Oasis shall also not be liable for any consequences resulting from the Parent/Guardian’s failure to disclose a health condition, special need, or allergy of the Participant.
The Oasis shall not be liable for damages or losses resulting from the Participant’s or Parent/Guardian’s violation of these Terms, operational instructions, or code of conduct, or from the Participant’s individual conduct, or unlawful use of devices, platforms, networks, or digital tools, within the limits permitted by applicable laws and regulations.
Force Majeure
The Oasis shall not be liable for any delay, modification, suspension, or full or partial cancellation of the Program, its schedule, or any of its activities if this results from circumstances beyond its control or circumstances that are difficult to anticipate or prevent. This includes, without limitation, natural disasters, epidemics, severe weather conditions, major technical failures, interruption of essential services, government decisions or directives, or any emergency circumstances affecting Participants’ safety or the possibility of delivering the Program.
In the event of any such circumstances, the Oasis may take any measures it deems appropriate, including changing dates, changing the delivery method, suspending certain activities, cancelling the Program, or rescheduling it, with notice to registered Participants through the available communication channels whenever possible.
Partners and Implementing Entities
The Oasis may engage partners, implementing entities, or service providers to organize programs or provide content, technical support, or operational support.
The necessary data may be shared with such entities to the extent required for registration, implementation, operation, evaluation, and communication purposes, in compliance with applicable laws and regulations.
Complaints, Grievances, and Inquiries
The Oasis receives complaints, grievances, or inquiries relating to registration, participation, or services provided through the announced communication channels, including email: info@ks-scienceoasis.org.sa or any other channel specified by the Oasis.
When submitting a complaint or inquiry, the applicant must provide the information necessary to process the request, such as the applicant’s name, contact details, registration or request number if available, a clear description of the matter, and any supporting documents or information.
The Oasis will review and process requests in accordance with its operational procedures and in a manner appropriate to the nature of each request. The Oasis may contact the applicant to request additional information where necessary. Submitting a complaint or grievance shall not suspend the applicable obligations or approved Terms, unless the Oasis decides otherwise.
Amendments to the Terms and Conditions
The Oasis reserves the right to amend these Terms and Conditions and any visit or Program guidelines at any time without prior notice.
Continued use of the Website or attendance at the Program after the amendment is published shall be deemed acceptance of the amendment.
Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and interpreted in accordance with the applicable laws and regulations of the Kingdom of Saudi Arabia.
The competent Saudi courts in Riyadh shall have jurisdiction.

Types of Data We Collect
When submitting a registration request to the Oasis, we request a set of basic personal information or data to complete the registration process. Such data is used within the scope of managing registration, verifying information, operating the Program, protecting the Oasis’s systems, communicating with the User, and issuing the necessary reports.

The User may provide personal data through the Website, which may include the following:
- Identification data, such as name, national ID or residency number, date of birth, age, nationality, and gender.

• Limited health data, such as the existence of an allergy, health condition, or special need, for the purpose of safeguarding the Participant’s safety during the Program.
• Technical data, such as IP address, browser type, browsing logs within the Website, and related usage data.
• Data related to the use of platforms or digital or educational tools during the Program, to the extent necessary to operate the Program, manage participation, protect systems, and evaluate outputs.
Purposes of Use
The Oasis uses data for the following purposes:
- Managing the relationship between you and the Oasis.
• Reviewing and processing any registration request you submit through the Oasis Website.
• Providing the services or programs you request.
• Managing attendance, seats, payment, confirmation, and waiting lists.
• Communicating with you regarding the Oasis’s programs and services and any assistance that may be provided to you.
• Sending confirmation messages, reminders, updates, or instructions related to the Program.
• Preventing and detecting security threats, fraud, or any other harmful activity as permitted under applicable laws.
• Preparing statistical and operational reports on the Program.
• Issuing certificates or proof of participation where applicable.
• Operating educational and technical activities, and managing the use of digital tools, platforms, and artificial intelligence technologies used during the Program, in accordance with the approved controls.
• Informing you of new products, programs, or services where appropriate and in compliance with applicable laws.
• Carrying out promotional or media activities in accordance with approved controls.
• Responding to any inquiries you may raise.
• Receiving and processing complaints, grievances, and inquiries in accordance with approved procedures.
• Any other purposes based on your consent or as permitted by applicable laws.

The Oasis may disclose data relating to you or the Participant to the following entities:
- Companies or entities that provide services to or on behalf of the Oasis, such as technical support companies, platform operators, electronic payment providers, messaging providers, or registration management providers, provided that such data is used only for the purpose of providing the required services to the Oasis and in accordance with contractual arrangements relating to confidentiality and data protection.
• Partners or implementing entities of the Program, within the limits necessary to deliver the Program, manage attendance, distribute groups, conduct evaluation, communicate, or issue reports.
• Providers of platforms, digital, educational, or technical tools used during the Program, within the limits necessary to operate the Program, provide technical support, protect systems, or manage participation.
• Competent government authorities where there is a legal or regulatory request.

The Oasis maintains the privacy and confidentiality of personal data obtained from Users, and such information will not be disclosed unless required under applicable laws, or where the Oasis believes in good faith that such action is required or desirable to comply with laws, defend rights, or protect the property of the Website or its beneficiaries.
